1. Tour Deposit and Payments

Initial deposit of US $1,000 /person is due upon reservation

US $500 of the deposit is non refundable

Final total payment is due  March 1st 

Late payment might lead to cancellation of the reservation with no refund.

Tours booked on or after the final payment is due are to be paid in full by check at the time of reservation

Payment can be paid in full by check at anytime. There is a $35 charge for returned checks.

Prices are guaranteed once payment is made in full

Prior to paying the balance in full, prices may rise if the Euro rises from 5% and above.

2. Cancellation and Refund Policy

Cancellations are to be in writing (mail or email) and refunds are scheduled as such:

All payments refunded if replacement is found less non-refundable $500 of the deposit

180 days : 80% of the tour price refunded minus $500 of the deposit

179-121 days: 50% refund minus $500 of the deposit

120 days and less: no refund

If you have an outstanding balance when submitting a cancellation 120 days or less prior to the start date of the trip, that amount must be paid out to Provence Detours within 10 business days from the day of your cancellation.

There is no refund for guests interrupting and not completing their tour.

Cancellation policy applies regardless of the reason for cancelling. We highly recommend participants enroll in a travel insurance program suited to their needs as soon as they reserve. Provence Detours does not sell travel insurance but partners with executivesage.net who can design an insurance that meets individual needs.

3. Tour changes and cancellation

Provence Detours is committed to providing the best service to its guests and to limiting changes to extreme circumstances. However, travelling can be full of surprises. Therefore, due to circumstances beyond its control, the agency may have to make partial changes to the stated itinerary and accommodations. Every effort is made to keep changes to a minimum, and to maintain the high quality.

Provence Detours may cancel a tour at any time before departure for any reason, including if the number of guests signed up for a given tour is insufficient to operate the tour. Provence Detours shall attempt to notify guest of the cancellation immediately upon decision. Provence Detours liability is ONLY limited to a full refund of deposits and tour fees. It is not liable for any other costs, damages, or refunds of any kind for any loss, delay, inconvenience, disappointment, including loss incurred on account of non-refundable or non-transferable air tickets. Travel insurance is highly recommended but not necessary for participation.

4. Participation Requirements

Our tours require easy to moderate walking. We walk up and down hill a lot and on uneven terrain. Our tours are recommended to people in good physical health who can walk without a prop less walking sticks. It is possible to skip an activity by staying at the hotel or simply relax at a café. You are required to bring medication as needed as it could be difficult to fill a prescription. Make sure to advise Provence Detour in writing of any physical or mental pre-existing condition that may require attention. Provence Detours reserves the right to accept or decline a person from participating in a trip. Provence Detours reserves the right to expel from the trip any person displaying disruptive behaviors without any claims or complaints by that person against us.

5. Communication

Please provide a valid email address and current contact information. Provence Detours will be sending most notices and information by email, It is guests’ responsibility to keep Provence Detours informed of contact changes. All required forms are to be turned in prior to departure. All your information is strictly confidential and will not be shared with anyone.

6. Travel insurance

Travel insurance is strongly advised to cover any costs incurred by tour and airline tickets cancellation, loss of luggage, trip delay, medical evacuation, etc. You are responsible for all damages to your property and for any unforeseen travel expenses incurred on this trip. Provence Detours does not sell nor provide travel insurance or health insurance but our partner executivesage.net does. You are responsible for any medical expenses incurred, if you were to be injured or ill during your trip or subject to lost or stolen property incidents.

7. Travel documents

All travelers are required to possess a valid passport to travel to Europe. It is your responsibility to verify the required validity of your documents and renew, if necessary. You are responsible for determining and fulfilling any visa requirements.

8. Meals

All breakfast are included. The traditional French breakfast is continental style. Breakfast might be continental style or include cheese or/and meats. Other meals are included as shown in each tour itinerary. The included meals feature regional cuisine locally sourced. Some of the meals take place at the hotels where the group stays, while some take place in local restaurants, farms, and vineyards. A set amount of wine is included with group lunches and dinners. You will need to purchase any additional alcoholic and nonalcoholic beverages other than the ones included with the meal. Restaurants do their best to accommodate special diets, but you may have to purchase additional food or specific ingredients not readily available.

9. Responsibility

It is your responsibility to get to the specified address before the start of the trip on the date specified. Failure to do so will not result in a partial or total refund of the trip. You are responsible for your own airfare. If you arrive at the destination on a different date, time or place than the specified one, if you are delayed on arrival, it is your responsibility to meet up with the rest of the group. Only transportation outlined in the tour summary is included. Only meals outlined in each tour itinerary are included. No items of personal nature are included. Expenses generated by unexpected travel circumstances(weather, delays, medical, social unrest, terrorism, etc…) are your responsibility. It is Provence Detours ‘responsibility to ensure all participants enjoy the trip to the best of our ability. We reserve the right to ask a tour member to leave if behavior is disruptive and interferes with others’ enjoyment of the trip. There is no refund when participants are asked to leave.

10. Accommodations

Guest accommodations are either in small boutique hotels or bed and breakfast based on availability. They are century old buildings renovated with charm and locally owned. They are selected for their charm, history, simple, elegant décor, and welcome. Because they are smaller hotels, or B&B, no two rooms are alike and vary in size, layout, decoration, view, and some may include stairs. Most of the time bathrooms and bedrooms are smaller compared to the equivalent U.S. star rating. Beds are also smaller than American standards. However, rooms are all equipped with a private en-suite bathrooms (tub/shower, sink, toilet, etc.). Single supplement is applied if you are traveling alone. Some accommodations may include laundry service, internet access, hair-dryers, and other amenities/services, while others may not.
